YonSuite BOM Engineering Change: Version, Effectivity and Production Cutover

Control item, BOM, substitute and routing changes through request, impact review, approval, effectivity and production cutover so old and new materials remain governed.

Give engineering, planning, purchasing, production, quality and costing one change baseline for open supply, inventory, WIP, orders and cost impact.

Prerequisites

Item coding, units, substitute groups, BOM levels, routings, warehouses, cost elements and version rules are standardised.
Change types, reasons, urgency, approval matrix, date/lot/order effectivity and old-material use-up or scrap policy are defined.
MRP, purchasing, production, quality, inventory and cost owners have agreed the impact checklist and cutover responsibilities.

Completion checks

The engineering change traces to approved version, impact review, effectivity, item/BOM/routing updates, open-document disposition and first-lot validation.
Production orders before and after effectivity carry one explicit approved BOM and routing version; no order silently mixes structures.
Old stock, in-transit, WIP, return, substitution and scrap quantities reconcile, and standard or planned-cost changes have an approved version and period.

Common errors

Editing the current BOM directly without a new version and change record, making historical orders impossible to reconstruct.
Reviewing design correctness only while ignoring inbound supply, WIP, quality specification, customer approval and cost.
Using date effectivity without defining timezone, night shift, released orders and offline shop-floor boundaries.

Steps

01Submit an engineering change request with object, old and new values, reason, risk, urgency, customer or regulatory basis and desired effectivity; lock affected BOM and routing versions for review.

02Explode affected finished goods, subassemblies, substitutes, open orders and stock. Engineering, planning, purchasing, production, quality and cost assess schedule, supply, WIP, inspection and cost impact.

03The change board selects immediate, date, lot, production-order or use-up effectivity and approves the new version, substitution, old-material disposition, supplier cutover and required customer confirmation.

04Release the approved version and synchronise item, BOM, routing, inspection specification and cost basis. Use a controlled short freeze before MRP recalculation so planning cannot read conflicting baselines.

05Process unfirm suggestions, purchase orders, subcontracting, released orders, floor issues, returns and stock against the cutover list. Any authorised old-version exception needs quantity, expiry, approver and traceable identification.

06After the first production lot, verify readiness, usage, scrap, quality, labour and cost variance. Close temporary substitutes and old-version access, retain effectivity evidence and complete the post-change review.

Implementation notes

Rehearse one date cutover and one use-up cutover on a low-risk product to validate MRP and shop-floor execution.
A change review must show open purchasing, inventory, WIP, quality and cost, not just the BOM comparison.
R&D collaboration, CAD/PLM integration, version freezing and order-level effectivity depend on YonSuite subscription, release, interfaces and blueprint scope.
