YonSuite Import Procurement: In-transit Receipt and Landed Cost
Link foreign-currency purchases, freight, insurance, duty and agent charges to receipt lots for explainable landed inventory cost.
Learning objective
Close one import shipment from PO through receipt, accrual, allocation and payable settlement.
Roles
Import buyer, logistics, customs coordinator, warehouse, AP, cost accountant and financial controller.
Prerequisites
- Approved supplier, currency, Incoterm, unit, tax code and receiving warehouse.
- Approved cost elements, allocation bases, accrual and exchange-rate source.
- Qualified local owners determine customs, BOI, duty and tax treatment.
Completion checks
- Lot cost traces to PO, shipment, receipt and each allocated charge.
- In-transit plus receipt and differences equals shipped quantity.
- Accrual, actual charge, payable and inventory adjustment have approval and period.
Common errors
- Loading every import charge into item price with no allocation evidence.
- Clearing in-transit before receipt and hiding shortage or cut-off.
- Capitalising recoverable tax, duty and service cost without classification.
Thailand project note
Thai customs value, duty, import VAT, BOI privilege and documents require customs broker and qualified tax/legal confirmation. ERP allocation is management control, not a customs or BOI conclusion.

Steps
- 01
Create the foreign-currency PO with Incoterm, shipment milestones, ETA and cost ownership; keep estimated charges separate from item price.
- 02
Register in-transit quantity by bill of lading or shipment and link PO, supplier invoice, currency and logistics reference.
- 03
Record actual receipt, shortage, overage and damage; place inspection or uncleared stock in controlled status.
- 04
Collect goods value, freight, insurance, agent, duty and other approved charges; separate capitalisable and period cost.
- 05
Allocate by weight, volume, quantity or value and approve exceptions; retain the source of accrual-to-actual variance.
- 06
Match PO, receipt and supplier documents, post inventory and payable, then reconcile in-transit, received, charges and FX before close.
Implementation notes
- Give every shipment one unique reference.
- Retain estimated and actual landed cost side by side.
- Rehearse a shipment with shortage and multiple charges.
