YonSuite Preventive Maintenance and Work-Order Loop

Learning objective
Create a standard process that schedules maintenance by asset criticality and condition, captures labour, parts and time, and supports downtime and recurrence analysis.
Roles
Asset administrator, maintenance planner, maintenance supervisor, technician, production supervisor, spare-parts controller, safety owner and system administrator.
Prerequisites
- Each asset has a unique code, location, owner, model, commissioning date, criticality and key technical parameters.
- The company has approved calendar-, usage- or condition-based strategies, inspection points, target values and escalation rules.
- Skills, tools, spare parts, downtime windows, work permits and safety controls are confirmed by the responsible owners.
Completion checks
- A sampled critical asset traces from its register to strategy, plan, work order, execution evidence, parts and acceptance result.
- A closed work order contains actual people, time, downtime, parts, readings, failure cause and closure confirmation rather than blank defaults.
- Overdue and recurring failures have an owner, reason and due date, and feed back into the next maintenance plan.
Common errors
- Applying one interval to every asset without considering criticality, usage and failure history.
- Marking work complete without readings, actual labour, parts and exception evidence, leaving history unusable.
- Closing immediately after repair without a joint production trial or follow-up task for unresolved findings.
Thailand project note
For Thailand plants, align Chinese, English and Thai asset names and use the same codes for check items and exceptions. Include purchasing and transport lead time for imported spares. Lockout/tagout, permits, machine safety and statutory inspection must be confirmed by the customer's Thai safety owner and qualified professionals; this guide does not replace safety procedures or legal assessment.

Classify assets by production impact, safety impact, repair cost and spare-part lead time, then complete location, responsible team, meters, manuals and failure history.

For critical assets, choose time-, usage- or condition-based triggers and define checklist, target values, skills, estimated hours, spare parts and tools.

Generate plans or work orders from the strategy. The planner checks the production window, people, parts and safety prerequisites before assigning priority, owner and date.

The technician inspects, cleans, lubricates, adjusts or replaces as instructed and records readings, exceptions, start and finish, downtime, labour, parts and evidence line by line.

Maintenance and production jointly verify equipment condition, safeguards and trial-run result. Convert unresolved issues into follow-up work, record failure cause and close only after restoration is confirmed.

Review schedule compliance, overdue work, repeat failures, downtime, part usage and mean time between failures, then adjust frequency, checklist, limits and spare strategy.
Implementation notes
- Pilot with 10–20 critical assets on bottleneck operations before covering ordinary equipment.
- Do not copy manufacturer intervals blindly; review them against environment, load, failure history and site risk.
- Screens, automatic work orders, meters and mobile functions depend on the YonSuite subscription, release, equipment connection and project configuration.
