Learning objective

Create a credit-control loop in which sales, warehouse and finance share the same customer, order, fulfilment and receivables evidence.

Roles

Sales representative, sales manager, credit controller, warehouse supervisor, shipping user, AR accountant, cashier and system administrator.

Prerequisites

  • Approved customer, bill-to customer, credit account, currency, payment terms, sales organization, warehouse and tax-classification master data are active.
  • Credit limit, credit period, overdue logic, exception approval and shipment-hold rules are jointly approved by sales and finance.
  • Order, availability check, shipment, receivables, receipt and cash-application permissions and integrations have been tested.

Completion checks

  • A paid transaction traces from cash application to receipt, receivable, shipment, sales order and any credit approval.
  • Credit exposure reconciles to in-scope open orders, shipped-unpaid items and overdue balances, with every release or adjustment explainable.
  • Over-limit, overdue, special-price, over-shipment and manual-application events retain user, time, reason and linked document.

Common errors

  • Checking credit only at order entry and not again before shipment after new overdue balances or orders arise.
  • Treating a temporary exception as a permanent limit change without expiry or approved scope.
  • Leaving receipts as unapplied customer balances, which distorts ageing and available credit.

Steps

01Create the customer credit profile with credit account, limit, payment period, currency, effective dates and account owner; define which documents consume credit and when exposure is released.
02When entering the sales order, confirm customer, item, quantity, price, delivery date, payment terms and ship-to location, then check available inventory, open orders, receivables and overdue status.
03Route orders above limit, overdue accounts or special pricing to exception approval. Record the reason, temporary limit or release scope, expiry and approver.
04After approval, use the order as the controlled picking and shipment basis. Reference the order for actual shipment and retain changes for over-shipment, substitutes, split delivery and revised dates.
05Create receivables from confirmed shipment or the agreed contract event. Validate customer, currency, tax amount, due date and source; identify incoming cash and apply it to the correct customer, document and currency.
06Review credit exposure, overdue AR, unapplied cash, blocked orders and exception releases weekly. Preserve approval and effective date for any limit or payment-term change.
