Learning objective

Establish a standard readiness process from planned order through kitting, expediting, substitution and release decision.

Roles

Production planner, material controller, buyer, warehouse supervisor, production supervisor, quality staff and implementation consultant.

Prerequisites

  • The order or proposal has an approved organisation, item, quantity, effective BOM, start date and requirement date.
  • Usable stock, lot status, inbound purchasing/subcontracting, reservations and allocations are current.
  • Substitutes, effectivity, scrap, lead times and quality-release rules are reviewed.

Completion checks

  • A sampled production order reconciles readiness demand to the effective BOM, scrap and issued quantity.
  • Every shortage has an owner, action, commitment date and traceable source document.
  • Inspection, blocked and stock allocated to other orders are excluded from usable quantity.

Common errors

  • Using book stock without deducting inspection, blocked, reserved and allocated quantity.
  • Treating the full purchase-order quantity as available without confirmed delivery and inspection lead time.
  • Releasing from a stale readiness result after rush orders, issues or receipts have changed.

Thai plants should align shortage reasons, expediting status and substitute names in Chinese, English and Thai. Cross-border supply needs transport, customs and incoming-inspection buffers in the latest-arrival date. This guide does not make tax or customs determinations.

02Explode the effective BOM and convert demand to controlled units, including scrap, prior issues and approved substitutes.
03Calculate usable supply: on-hand less blocked, inspection and allocated stock, plus only confirmed inbound supply due before the cutoff.
04Classify each order as ready, partially ready, short or at risk; record gap quantity, latest required date, owner and source document.
05Resolve shortages through expediting, transfer, substitution, order split or resequencing; retain approval and traceability for substitutions and inter-organisation moves.
06Refresh the result immediately before release and kit only orders that satisfy the rule; review false alerts, rush orders and late supply after completion.
