Learning objective
Create a supplier-management process that does not depend on personal inboxes or spreadsheets and can evidence every approval and status change.
Roles
Procurement manager, supplier development, quality manager, finance, legal/compliance, master-data administrator and implementation consultant.
Prerequisites
- Supplier coding, categories, purchasing organisations and plant scope are approved.
- Required documents, approval ownership, review frequency and suspension/exit criteria are documented.
- Owners are assigned for verifying Thai corporate, tax, bank, quality and other records.
Completion checks
- A sampled supplier traces from application and evidence through verifier, approvals, master changes and current status.
- A duplicate tax ID or bank-account test is blocked or enters a documented exception process.
- Expired documents, suspended suppliers and exceptional purchases enter an identifiable alert or approval queue.
Common errors
- Treating a received scan as official verification without recording source, date and verifier.
- Allowing one buyer to create and approve supplier and bank data without segregation of duties.
- Freezing the master record without proving that ordering, receipt and payment are actually controlled.

Steps
- 01
Create an application with legal name, registered address, tax ID, contacts, bank details, supply category and served plants; do not enable transactions immediately.

Configure required licences, certificates, questionnaires and expiry dates by supplier class, distinguishing originals, verified copies and self-declared information.

Route procurement, quality, finance and, where needed, legal/compliance approval; give missing, pending-verification and exception cases separate statuses and owners.

After approval, create one supplier master and restrict duplicate tax IDs, duplicate bank accounts and unauthorised changes to legal or payment data.

Return sourcing, contract, order, receipt, inspection, delivery, return and reconciliation performance to the same record for periodic category-based review.

Trigger alerts, suspension or blocking for expiry, material quality events or failed review; require evidence and approval before reactivation.

Before exit, review open orders, goods in transit, consigned stock, payables, claims and retention requirements, preserving the status-change log.
Implementation notes
- Start with complete templates for high-risk and high-spend suppliers, then extend by category.
- A risk score should expose data source, update date and human review; an automated label is not a legal conclusion.
